The problem

Subbie hours are reported, not recorded

A WhatsApp message, a paper sign-in sheet or a photo of a timesheet, checked later by someone who wasn’t there. Then the hours are split and allocated manually to projects by hand, across scattered spreadsheets.

Hours in WhatsApp

Crews report hours in a group chat, or by phone, message or email to the coordinator.

Checked one by one

“Did you arrive or were you late? What are your hours?”

Forgotten check-ins

Missed check-ins mean missed hours, and missed hours mean disputes.

Ghost hours

Hours claimed that weren’t worked, and travel and multi-site days that blur the rest.

On site

Loan labour hour disputes

“Agreed for 7 hours, charged for 9 hours after 2 weeks. No records or audit trail to prove them back."

BaCK OFFIce

Uneasy, and stuck being the chaser

Admin pay on trust, you wonder whether you’ve paid for hours nobody worked, and every week you’re back on the phone.

It’s just wrong

Inaccurate labour cost

Subbie on hourly rate or loan labourer costs are not linked to the right cost code and cost blown outs are identified later.

Hours-on-trust calculator

What does half an hour on trust cost you a year?

8 hours sent, but they clocked in half an hour late. Without a check-in record, those 30 minutes get paid. Move the sliders to see your number.

What you get

Know which subbies were on site, and when

GPS-checked hours for every subbie, hourly or lump-sum, built into timesheets by job and cost code, approved by the site manager with a swipe.

GPS-checked check-in and check-out

A subbie can only clock on when they’re actually on site, so you only pay for hours that happened there.

  • Blocked outside the geofence
No check-ins from home or on the way.
  • Suspicious check-in report
Attempts with location off are logged.
  • App or mobile browser
One big check-in button either way.
  • QR code on site
    For anyone who’d rather scan.

Timesheets that build themselves

Split by job, so nobody keys hours in from WhatsApp or a sign-in sheet.

Hours go to the right project even when a subbie moves sites mid-day. Auto check-out catches anyone who forgets, and notes explain travel or an early finish.

Swipe-to-approve for site managers

Adjust hours, check in someone who forgot at 7am, and see every change logged, from the raw check-in to site-approved and payroll-approved hours, so checking a crew’s hours takes minutes, not phone calls.

Evidence on lump-sum work

Track time on quoted work too, so you can see when day-docket hours become excessive and the work isn’t keeping up with program.

  • Time records for hourly and lump-sum subbies alike.
  • Proof on hand when scope creeps or the program slips.

The plan

Site-verified subbie hours in three simple steps

  1. 01

    Add your subbies

Just a name and mobile. We set up your sites, geofences and pay rules as part of onboarding, whether each subbie is GST-registered or not.

  2. 02

    Subbies get an SMS

They sign up in about a minute and check in on site with one button, in the app, a browser or by QR code.

  3. 03

    Swipe to approve

The site manager swipes to approve at the end of the day. On payday your admin opens site-verified hours, ready for invoice matching.

One big button

Check in with one tap, in the app or a browser.

QR code on site

For subbies who’d rather scan than log in.

Site manager backup

Check in anyone who forgets.

Split by job

Every hour lands on the right project.

Worried your subbies won’t use it, or that it’s more admin for your site manager?

One big check-in button that works in a browser too, and the site manager can check in anyone who forgets. Approval is just a swipe away. Start with 3–5 of your regular subbies on one site.

We get it

We know what it’s like to run subbies across five sites and get the hours through a WhatsApp group at night.

Or get no records at all, then spend payday ringing site managers to ask who was actually there. We’ve sat in those WhatsApp groups with our customers.

“Now we know that they can’t check in or check out unless they’re within the vicinity of the project.”

Sydney Roofing Contractor.

Geofenced check-in

Blocked outside the site boundary, with suspicious attempts reported.

App, browser or QR

Whatever works for each subbie on each site.

A full audit trail

Raw check-in, site-approved and payroll-approved hours, all logged.

Before & after

Life before and after Swift Checkin

Before
After

WhatsApp hours groups, paper sign-in registers and photos, and a spreadsheet someone keys by hand

One GPS-checked timesheet per subbie, per job, per day, with an audit trail

Uneasy. Worried you’ve paid someone when they were not at work

Confident. You pay for hours that happened on site - geo-tracked and site manager verified.

Admin ringing crews to ask “are you on site? Why didn’t you clock in?”, cross-checking WhatsApp against check-ins, and sending mismatches back to site manager.

At 7am you see who’s on which site. At the end of the day the site manager swipes to approve. On payday the hours are cost coded and ready to pay.

The owner who chases subbie timesheets and invoices

The owner whose subbies know their hours are recorded and invoices are processed.

30 min

Half an hour a day, per subbie, paid on trust.

8 hours sent, but they clocked in half an hour late, and without a check-in record those 30 minutes get paid. Add site manager hours lost to calls and WhatsApp cross-checks, subbies pushed to the next pay run, and no evidence when day-docket hours on lump-sum work become excessive. Without accurate hours, overquoted invoices and blown project budgets eat your profit.

FAQs

How do subbies check in?+

With one button in the Swift Checkin app or a mobile browser, or by scanning a QR code on site. They sign up from an SMS in about a minute.

What stops someone checking in from home?+

The geofence. Outside the site boundary the check-in is blocked, and attempts from home, on the way, or with location switched off land on a suspicious check-in report.

What if a subbie forgets to check in or out?+

Auto check-out catches anyone who forgets to clock off, and the site manager can check in someone who forgot at 7am. Every change is logged.

What if a subbie works on two sites in one day?+

Timesheets are split by job, so hours go to the right project even when a subbie moves sites mid-day. Notes explain travel or an early finish.

Do you track lump-sum subbies too?+

Yes. Time records on quoted work show when day-docket hours become excessive and the work isn’t keeping up with program.

How do we get started?+

Add your subbies with a name and mobile. We set up your sites, geofences and pay rules during onboarding. Start with 3–5 of your regular subbies on one site.

Every subbie hour you pay, recorded on site

Checked by the site manager with a swipe and ready for payday, with no calls, no WhatsApp and no sign-in sheets.
