AI-HR agent for construction subcontractors

Stop manually chasing leave, tickets and new-starter paperwork.

An AI-HR agent for construction subcontractors that onboards new workers, tracks every ticket’s expiry and runs leave from the same app your crew uses onsite, so no one gets paid for a day off or walks on site with an expired white card.

Payroll only pays days worked: approved leave is on the site schedule and in payroll

The problem

Crew records that live in spreadsheets and emails

Leave sits in a text message, tickets in a colour-coded spreadsheet, induction and policy sign-offs on paper. The site app knows none of it, so it lets the wrong person check in, and payroll pays them.

Leave asked for verbally

“He asked me for a day off and I forgot.” Now you’re one crew down onsite.

The Monday spreadsheet

Someone eyeballs colour-coded cells every week, looking for tickets about to expire.

Subbie documents collected once

Requested at the start of the job, then never tracked properly again.

Onboarding re-keyed every job

White card, photo ID and headshot, attached and emailed to each client by hand.

On site

The wrong person checks in

Expired tickets, workers who haven’t been inducted, and subbie insurance nobody has read.

In the office

Admin is behind 100 different acitivities

“I’m just worried whether everyones tickets are active before they reach onsite. I trust my admin is doing that check".

It’s just wrong

You shouldn’t need a spare person every Monday

Contractors shouldn’t need a spare person every Monday morning, and a good memory, just to know who’s allowed on site and who’s on leave.

What you get

Your HR admin, done before the first check-in

Onboarding, tickets and leave, run from the same app your crew already uses onsite, so everyone who checks in is inducted, ticketed and meant to be working today.

Onboarding by text message

New starters register from an SMS and do it all on their phone, so you can put them on site day one with no paper pack.

  • White card & licences
    Uploaded from their phone.
  • Photo ID & headshot
    Ready for every client’s form.
  • Your site form
Filled in once, not re-keyed per job.
  • Company policy
Read and accepted on their phone.

An agent that reads every ticket

Snap a licence, ticket or insurance certificate. The agent reads it and files it, so you can retire the Monday spreadsheet.

The worker and the office are alerted 30 days before expiry. Once it lapses, check-in is blocked.

Leave that talks to the crew schedule

Workers apply for leave or call in sick from their phone. The payroll admin approves it and the site manager sees it on the attendance view, so the work is planned upfront and leave is tracked properly for payroll.

One profile per worker

Employee or subbie, everything sits in one place, so every worker is site compliant, with the audit trail to prove it.

  • Tickets and expiries, signed policy and emergency contact.
  • Leave, tied to the same app your crew checks in with.

The plan

Up and running in three simple steps

  1. 01

    Book a 20-minute walkthrough

Send us your company policy, your site onboarding form and your licence spreadsheet.

  2. 02

    We load it for you

The agent reads your existing documents. Nobody re-types a spreadsheet.

  3. 03

    Your crew gets an SMS

Registration takes under a minute. They upload tickets and accept your policy. That week: expiry alerts in your inbox, leave requests on your site manager’s phone.

Same check-in

No extra app. Payroll still flows to Xero or MYOB.

Setup done for you

Free. Send the spreadsheet; the agent loads it.

Hosted in Sydney

Your data is safe and secure in AWS Datacentre, Sydney.

No download needed

Works in the phone browser. Site managers can do it for them.

Worried it’s another app for the boys, or that setup will be a nightmare?

It’s the same check-in they already use, and payroll still flows to Xero or MYOB. We do the setup for you, free: send the spreadsheet and the agent loads it.

We get it

We know what it’s like to get thinking all workers are inducted before checkin.

And to have forgotten it to track the documents. Swift Checkin was built to solve the manual tracking of all the document expiries and chasing worker for submitting documents.

“I’ve got too many things on my mind, so I rely on Swift Checkin.”

What you have

Leave by text and phone call. A colour-coded licence spreadsheet. Paper policy sign-offs

One profile per worker, employee or subbie: tickets and expiries, signed policy, emergency contact and leave, all in one app

“Too many things on my mind.” Worried someone got a expired ticket while onsite

In control. The system remembers leave and expiries and flags them before they cost you money

Monday: someone scans the spreadsheet for red cells, the GM texts a worker who didn’t check in and gets no reply, and admin re-keys a new starter for the third client form this month

7am: “3 tickets expire in 30 days, workers notified.” A leave request pops up on the site manager’s phone. The new starter finished onboarding on their phone before their first shift

The office chaser who finds out at the site gate, or on payroll day

Every worker is site compliant, with the audit trail to prove it

1 day

One missed day of leave, expired ticket, new starter without paperwork.

Each one costs you a day on site. The AI-HR agent tracks leave, checks every ticket and insurance before it expires, and follows up new starters until they're ready to work, so none of them catch you out.

FAQs

Can't find the answer you're looking for? Chat to our team.

How do new workers get onboarded?+

They get an SMS. On their phone they upload their white card, licences, photo ID and headshot, fill in your standard site form and accept your company policy, so they’re ready for site on day one.

What happens when a ticket is about to expire?+

The agent alerts the worker and the office 30 days before expiry. Once it lapses, that worker can’t check in until it’s renewed.

Does it track subcontractors too?+

Yes. Every worker, employee or subbie, gets one profile. Snap a licence, ticket or insurance certificate and the agent reads it, files it and tracks its expiry.

How does leave work?+

Workers apply for leave or call in sick from their phone. The payroll admin approves it, the site manager sees it on the attendance view, and it’s tracked properly for payroll.

Is our workers’ personal information safe?+

Your data is hosted on AWS in Sydney and stays in Australia. It’s never sold or passed to third parties, and you can export it any time.

What if some of my crew aren’t good with phones?+

It works in the phone browser with no download, and admins can drag and drop - AI-agent can read, fill up and track it on their behalf.

Everyone who checks in is inducted, ticketed and rostered

And payroll only pays for the days they actually worked.
